Web Time Approval – Client Instructions QRG

Introduction

This guide will provide basic instructions for logging into the Client Portal to approve hours submitted using the People2.0 Software Web Time Approval function.

Customer Time Approvers may wish to have direct login access to the Client Portal or use the Timesheet Reminder email direct link to approve timesheets. If you do not know your login or the link to access the Portal, please contact your staffing company representative.

Summary of Steps

  1. Login to the Client portal or click the link in the reminder email
  2. If logging into the portal directly, click on “Time Approval”
  3. View hours for each employee
  4. Select timesheets for approval and approve submitted hours
  5. If a timesheet is not approved, dispute and enters the reason why (required)

 

 Web Time Approval - Detailed Approval Instructions

  1. Go to the Customer Portal to login by using your Staffing Company’s designated link, https://clients.people20.net/Gateway, or click the link in the Reminder email that has the unique approval link directly to the timesheet.
  2. Once logged into the Portal, click on “Time Entry” from the menu options.

 

 Viewing Timesheets

  1. Select the Approve button to approve employee hours.
     
  2. To dispute hours, click the Dispute button to enter different hours, which will then calculate a disputed amount. A reason for each Dispute is required (see Disputed Hours section below). Approve the updated hours.

 

 NOTE:  Approvers will not be able to modify any hours submitted by the Employee. However, hours can be disputed.

 Approving Timesheets

  1. Approvers may choose to approve one or more timesheets at one time. Use the check box to select the timesheets, then click the “Approve” button to save and approve the hours. After hours are Approved or Disputed, they are sent to the Staffing Company for processing.
  2. Select the Approver Note button to add a note which is viewable in the approved and history tabs of the Client Portal and visible by the Staffing Company.
  3. Selecting the (i) button on the Details column will display the details of the hours for each day on the Timesheet.

 Disputed Timesheets

  1. If a timesheet is not approved, click the Dispute button, enter in the correct Approved hours for the associated day(s) on the timesheet. A note must be entered to detail the reason for the Dispute.
  2. After adding the note(s), click the Dispute button to confirm the change. The Approved Hours for the timesheet will be recalculated. Click the Approve button to approve the updated timesheet total hours.
  3. Contact your staffing representative for additional support if you have any questions about the Web Time Approval process.
